Sherwood Medical Clinic is a new physician-owned family medicine clinic opening in September 2026 in northwest London, Ontario. Our team of nine family physicians provides comprehensive primary care to more than 10,000 patients. We are seeking a professional, organized, and compassionate Medical Office Assistant (MOA) to join our team. The successful candidate will support physicians, patients, and fellow staff members through a combination of administrative and clinical duties in a busy family medicine practice.
Schedule
● Full-time permanent position
● Monday to Friday schedule
● Participation in a rotating evening clinic schedule
● Approximately one evening shift per week until 8:00 PM
● Participation in a rotating Saturday clinic schedule
● Approximately one Saturday every five weeks (12:30 PM – 4:00 PM)
● Statutory holidays off
Position Summary
The Medical Office Assistant is responsible for providing administrative and clinical support to physicians and patients. This role includes reception duties, appointment scheduling, medical documentation management, patient communication, and delegated clinical tasks, including obtaining vital signs, administering injections, and specimen management.
The ideal candidate is organized, detail-oriented, patient-focused, and able to thrive in a fast-paced healthcare environment.
Key Responsibilities
Reception & Patient Services
● Welcome patients and visitors in a professional and courteous manner.
● Register and check in patients.
● Verify and update patient demographic and health card information.
● Schedule, reschedule, and confirm appointments.
● Manage physician schedules and appointment templates.
● Answer and direct incoming telephone calls.
● Respond to patient inquiries in person and by telephone.
● Maintain patient confidentiality and privacy in accordance with PHIPA requirements.
● Assist patients with forms, referrals, and clinic processes.
Administrative Duties
● Process incoming and outgoing faxes, mail, and correspondence.
● Scan, upload, and organize patient documentation within the Electronic Medical Record (EMR).
● Process specialist referrals and consultation requests.
● Coordinate diagnostic imaging and laboratory requisitions.
● Manage incoming laboratory, imaging, and consultation reports.
● Assist with patient recalls and preventative care initiatives.
● Support physicians with administrative workflows and patient communications.
● Maintain accurate patient records and documentation.
● Assist with general office organization and workflow management.
● Support basic billing and uninsured service processes as directed.
Clinical Support Duties
● Prepare examination rooms between patients.
● Room patients and assist with patient flow throughout the clinic.
● Obtain and document vital signs including blood pressure, pulse, weight, height, temperature, respiratory rate, and oxygen saturation.
● Administer injections and immunizations where appropriately trained and delegated.
● Assist physicians with clinical procedures as required.
● Collect, label, package, and manage laboratory specimens according to clinic protocols.
● Coordinate specimen transport and laboratory submissions.
● Perform point-of-care testing as directed.
● Support vaccine inventory management and cold-chain monitoring.
● Maintain infection prevention and control standards.
● Clean and disinfect clinical equipment and examination areas.
● Stock examination rooms and clinical workspaces with required supplies.
● Assist with delegated clinical activities within scope of training and clinic policy.
Clinic Support Duties
● Monitor and restock office and medical supplies.
● Notify management of inventory shortages.
● Assist with opening and closing clinic procedures.
● Support clinic quality improvement and patient care initiatives.
● Participate in evening and Saturday clinic coverage as scheduled.
● Contribute to a positive and collaborative team environment.
Qualifications
Required Qualifications
● Minimum 1–2 years of experience in a medical office, family medicine clinic, or healthcare environment.
● Experience working with Electronic Medical Record (EMR) systems.
● Strong computer skills, including Microsoft Office applications.
● Excellent verbal and written communication skills.
● Strong organizational and multitasking abilities.
● Ability to work effectively in a fast-paced environment.
● Professional, patient-centred approach to care.
● Ability to work independently and collaboratively within a team.
Preferred Qualifications
● Medical Office Assistant diploma from a recognized college or institution
● Family medicine clinic experience.
● Experience in obtaining and documenting vital signs.
● Experience administering injections and immunizations.
● Experience handling laboratory specimens and diagnostic testing workflows.
● Familiarity with OHIP billing workflows.
● Experience with Accuro, Avaros, OSCAR, PS Suite, or other EMR systems.
● Current CPR certification.
