Sherwood Medical Clinic is a new physician-owned family medicine clinic opening in September 2026 in northwest London, Ontario. Our team of nine family physicians provides comprehensive primary care to more than 10,000 patients. We are seeking a skilled, organized, and patient-focused Clinical Assistant to join our team. This position combines Medical Office Assistant responsibilities with an expanded focus on direct patient care and clinical support. The successful candidate will work closely with physicians and other healthcare staff to ensure efficient clinic operations and exceptional patient care.

Schedule

● Full-time permanent position

● Monday to Friday schedule

● Participation in a rotating evening clinic schedule

● Approximately one evening shift per week until 8:00 PM

● Participation in a rotating Saturday clinic schedule

● Approximately one Saturday every five weeks (12:30 PM – 4:00 PM)

● Statutory holidays off

Position Summary

The Clinical Assistant provides both administrative and clinical support within a busy family medicine clinic, with primary responsibility for patient preparation, clinical workflows, procedural assistance, specimen management, injections, immunizations, and coordination of preventative care activities.

The ideal candidate enjoys working directly with patients, is comfortable performing delegated clinical tasks, and possesses excellent organizational and communication skills.

Key Responsibilities

Clinical Support Duties

● Room patients and prepare them for physician assessment.

● Obtain, document, and communicate vital signs including:

o Blood pressure

o Pulse

o Respiratory rate

o Temperature

o Oxygen saturation

o Height and weight

● Obtain and document relevant clinical information as directed by physicians.

● Administer injections and immunizations where appropriately trained and delegated.

● Assist physicians with minor procedures and examinations.

● Prepare and maintain procedure trays and equipment.

● Assist with joint injections, skin procedures, biopsies, PAP testing, and other office-based procedures as delegated.

● Collect, label, package, and manage laboratory specimens according to clinic protocols.

● Coordinate specimen transport and laboratory submissions.

● Perform point-of-care testing as directed.

● Monitor vaccine inventory and maintain vaccine cold-chain requirements.

● Assist with preventative care initiatives and chronic disease management programs.

● Prepare examination rooms and ensure rooms are appropriately stocked and equipped.

● Clean and disinfect equipment and examination rooms between patients.

● Maintain infection prevention and control standards.

● Monitor and restock clinical supplies and notify management of inventory needs.

● Support patient flow to maximize clinic efficiency.

Administrative Duties

● Welcome patients and visitors in a professional and courteous manner.

● Register and check in patients.

● Verify patient demographic and health card information.

● Schedule, reschedule, and confirm appointments.

● Answer and direct incoming telephone calls.

● Process incoming and outgoing correspondence, mail, and faxes.

● Scan, upload, and organize patient documentation within the Electronic Medical Record (EMR).

● Coordinate specialist referrals and consultation requests.

● Process diagnostic imaging and laboratory requisitions.

● Manage incoming laboratory, imaging, and consultation reports.

● Assist with patient recalls and preventative care programs.

● Maintain accurate patient records and documentation.

● Support physician administrative workflows.

Clinic Support Duties

● Assist with opening and closing clinic procedures.

● Participate in evening and Saturday clinic coverage as scheduled.

● Support clinic quality improvement initiatives.

● Maintain a professional and collaborative work environment.

● Contribute to exceptional patient experiences and customer service.

● Assist with office and medical supply monitoring and restocking.

Qualifications

Required Qualifications

● Minimum 1–2 years of experience in a medical office, family medicine clinic, or healthcare environment.

● Experience obtaining and documenting vital signs.

● Experience working with Electronic Medical Record (EMR) systems.

● Strong computer skills, including Microsoft Office applications.

● Excellent communication and interpersonal skills.

● Strong organizational and multitasking abilities.

● Ability to work effectively in a fast-paced healthcare setting.

● Professional, compassionate, and patient-centred approach to care.

Preferred Qualifications

● Medical Office Assistant diploma, Clinical Assistant diploma, Personal Support Worker diploma with relevant clinical experience, Nursing diploma, or equivalent healthcare training.

● Family medicine clinic experience.

● Experience administering injections and immunizations.

● Experience assisting with office-based procedures.

● Experience handling laboratory specimens and diagnostic testing workflows.

● Familiarity with chronic disease management and preventative care initiatives.

● Experience with Accuro, Avaros, OSCAR, PS Suite, or other EMR systems.

● Current CPR certification.

● Current First Aid certification.
